The primary function of the Senior Retail Delivery Manageris administer the terms and conditions of a Tenants Agreement for Lease; facilitatingdesign as per the Design Criteria Manual, construction as per the Fit-Out Guide and compliance with local authorities. Primary Objectives: Demonstrates a stakeholder focused approach; endeavors to establish and maintain positive working relationshipsthroughout the Retail Delivery process. Buildsrapport with the Client, Tenantsand Tenantteams from the initial interaction understandingthe importance of open communication. Shares knowledge of previous experience with specific Tenants with the project team to anticipate and enrich the stakeholder service experience. Demonstrates an understanding of the design aspirations of the developmentand is able to confidently communicate these on behalf of the landlord, supporting and promoting their vision. Equips Tenants, their consultants and their contracting teams will all required project documentation, answering process queries before they arise. Responds to requests for information promptly; facilitates introductions to relevant parties where unable to provide information or official responses themselves. Advises teams of all project and local authority related updates which may impact their operating as soon as they are received. Informs Tenant of any serious concerns regarding their selected fit out contractoror consultantwhich may impact the quality of the fit out or project completion. Provides objective examples to support concerns and allows tenant to make their own decisions. Provides a detailed handover of all Tenant and Unit related information to a designated colleague during absences. Ensures that all relevant information is communicated to ensure that the units’progress is not affected. Coordinates all aspects of the Retail Deliveryp*rogramme*to achieve on time completion of allocated units using all available resources. Issues Retail Delivery Milestoneswithin the Briefing Meeting, setting expectationsand explaining the importanceof each. Re-confirms within the Pre-Start meeting, ascertaining where delaysmay occur whilst discussing where time can be regained. Shares knowledge of previous experience with specific Tenants with the project team where delays may have been caused. Suggests ways to implement measures to avoid these delays reoccurring. Assesses the experience level of appointed tenant contractors within initial interactions to avoid potential issues and provide additional support where necessary. Demonstrates an understanding of the Tenant Contractors/Consultants processes in tender, award, and contractand how these affectproject timelines. Anticipates the Start on Site requirements of the Tenant Contracting teams, providingall required documents, facilitating the Safety Induction, completing documentation and accepting payment for any temporary power, hoarding etc. Verifies that only complete sets of drawings are submitted to avoid rejection anddelays. Highlights submissions requirements beforemilestonedate, monitors for on-time submission, identified shortfalls before submitting to DRT and follows up when delays are caused. Completes floor walks to maintainawareness of On Site progress for all assigned units; uses tools to monitor milestones, completes necessary project reports. Demonstrates a thoroughunderstanding of local authorities and the approvals that are required for a development E.g. Municipality, Civil Defense, Food Authorities etc. Facilitates requests to avoidunnecessarydelays, completes permit and inspection requests in a timely manner. Communicates requests to the Landlord/Base Build representative on behalf of the Tenant Contracting teamswhere necessary. Documents incidents where delays occur as a result of Tenant/Tenant Contracting teams actions E.g. Delay in drawing submissions, delay on site etc. Highlights cases where delays are being caused by the Tenant and/or their Contracting teams and are non-responsive to status update requests. Gainsadditional support from project lead/landlordin order to achieve a positive outcome. Anticipates ‘Approval to Trade’ requirements, ensuring that these are highlighted to the Tenant and their Contracting teams in a timely manner. Collects and organizes all close-out documentation as required by the project that includes all snagging of the fit-out construction. Demonstrates an understanding of the importance of the Close Out process for their Tenants. Actively monitors the Fit Outprocessto eliminate possible opportunities for delay whilstmonitoringthat all aspects of the build are compliant with required approvals. Ensures that all pre-start requirements and necessary approvals are obtained prior to issuing Approval to Start on Site. Records data withinapplicableproject reports. Monitors general health and safety practices of the Tenant contracting team; reports and issues warnings or suspends work if violations occur. Verifiesthaton site buildcomplies with the approved design; encouraging Contractor to keep sets of approved drawings readily available for inspection. Completes on-site inspections in a timely manner, issues relevant documentation and records data within applicable project reports. Obtains all required documentation for Change Order Requests (Tenant Variation Request)on behalf of the landlordrepresentative. Communicates requests with Administration team in order for applicable trackers to becompleted. Monitors request, payment and completion of work on site. Provides a pre-snagging report to minimize the final snagging report issues. This is to be completed throughout the fit-out stage. S*upport*sthe project lead and delivery team; drawing ondevelopment related knowledge and experience tostrengthen the performance of the team. Actively manages the retail delivery process for anchor stores, hypermarkets, cinemas and large retail groups Attends meetings on behalf of the project lead, acting as a representative of Vindico Retail. Acts as a role model to all team members; follows all Vindico Retail processes and procedures. Provides ‘on the job’ training andguidance for team membersas indicated within specified training plans; always willing to share information within their field of expertise. Offers suggestions to overcome obstacles faced by team members, basing decisions on any real constraints, knowledge and experience Monitors both the performance andwell-being of employeesin the absence of the project lead; highlights feedback where required. Acts as a ‘buddy’ to other Senior Retail Delivery Managers within the business; sharing ideas, knowledge and experience Contributes towards the Vindico Retail Knowledge Library, formulating entries that are clear for audience understanding.
